OUTSOURCING AS A PHOTOGRAPHER: what tasks you can take off your plate by hiring a virtual assistant

Okay, photographers - we've all been there. 2 am, making those last minute editing changes to perfect your client's gallery, knowing the pictures are already gorgeous but you need juuust a few more tweaks before sending off the gallery in the morning. You're feeling tired, but great about how the shoot turned out, and mostly just ready for bed - and then you remember you have three emails to get back to, and two more galleries you have to finish this week, and you forgot to plan out your Instagram posts the other day so you have to set aside some time to do that but you keep forgetting to make note of it so it keeps getting pushed off which means your socials are slacking hardcore. Phew. Like I said, we've all been there, right?

Wouldn't it be great if you had someone to just... do all of that for you? Hell, you've probably spent many days actually wishing you did have someone to do all of those things so you didn't have to! The good news? You can.

Virtual assistants are quite literally paid to do the things that you don't have time to do (or you just don't want to do). Photographers are a different breed of client: you're passionate, you're driven, you're hungry for adventure and meeting new people and creating as much art as you possibly can through your camera lens - and all that means you're super busy just running your business normally, without all the bells and whistles of social media planning and SEO and inbox organization. But outsourcing the tasks that you don't personally need to do means you're saving that time and energy to get out there and create, rather than spending it hunched over behind your computer in the middle of the night.

Here's just a handful of tasks that you might not have thought about outsourcing:

Client Gallery Organization + Delivery

As the photographer, you're obviously going to be shooting the photos and editing them to perfection, per usual. But think about how much time you spend uploading those photos to a gallery, organizing them in the best order possible, and then emailing each client to send them their galleries on time - probably takes up more time than you thought, huh? Virtual assistants can take on those tasks on a regular basis to free up your time and get you back out behind the camera - just send over your photos once they're completed, and your assistant will do the rest.

Calendar Organization + Client Booking

Established photographers want to get the most out of their photoshoots, regardless of how many bookings they take on each month. But if you're not great at time management or have too much on your plate, overbooking - or even double booking (oof) can become a potential issue. Enter your virtual assistant: they can take your schedule and any preferences you share (no bookings on Tuesdays, X number of bookings per day/week/month, etc.) and manage your booking schedule for you so your time is being spent as efficiently as possible based on your personal needs. Whether you want your VA to simply review your calendar on a monthly basis, or fully take over your booking and scheduling process, we're here to make sure you're not stretched too thin.

Pinterest Planning + Management

Pinterest is one of the most overlooked social media platforms there is, especially for photographers. Pinterest is quite simply an image search engine - so why wouldn't you utilize that search engine to steer potential clients to your photos and your website? Even if you know you should be using Pinterest, or already do, it can be an extremely time-consuming task to take care of on a regular basis. You have to schedule your pins consistently, use optimal keywords, link every photo to the right pages on your website, repurpose content... it's a lot of work. But with a virtual assistant, you can outsource all of that work and know that your VA is increasing traffic to your website and potentially gaining you clients while you're busy at a photoshoot, or editing your latest gallery, or taking a well-deserved day off.

Copywriting - Blogs, Websites, Emails

A lot of effort goes into the actual copy on your business website, your blog, and even your emails. Your copy is so, so important because it directly shows your brand voice and your personality through every word that your audience reads. Having cohesive, on-brand copy throughout all aspects of your business is key to maintaining your brand and keeping clients interested. If you know what you want to say, but aren't sure exactly how to say it, you can outsource your copywriting to someone who's experienced, will dedicate the time to making your message come to life eloquently and effectively, and will enjoy every second of it.

It's easy to wonder what it'd be like if you had a robot to do all the boring stuff, like responding to emails, or sending out your galleries on a schedule, or organizing your inbox so it's not so cluttered with random subscriptions you forgot to cancel. It's easy to wish that someone would swoop in and save you from the impending boredom of scheduling 20+ Pinterest pins every day with the perfect keywords and different links straight back to your website. But you know what's easier? Actually hiring someone to do it all. And the best part is, we actually enjoy doing all that stuff for you! So if you're ready to take the leap and start outsourcing your work, your business (and probably your sleep schedule) will certainly thank you for it.
